Our Process

Steps in Revenue Cycle Management (RCM) For ABA Therapy Providers

1) Initial  Claim Creation
Using the AlohaABA Practice Management (PM) system, we generate claims based on documented services, ensuring all necessary details such as client information, provider details, and service codes are accurately entered.
2) Validation and Error Checking
Our team reviews claims for errors or omissions before submission, checking for correct CPT codes, authorization details, and compliance with payer requirements to minimize denials.
3) Claim Submission
We submit scrubbed claims to a clearinghouse, which checks for basic errors and formats the claims according to payer specifications before forwarding them to the appropriate insurance payers.
4) Insurance Payer System
The insurance company reviews the claim, verifying client eligibility, coverage, and whether the services provided match the authorized treatment plan. They may request additional information if necessary.
5) Payment Posting
The AlohaABA PM system receives the ERA from the clearinghouse, posting payments to the provider’s account and updating client accounts to reflect payments received and remaining balances.
6) Electronic Remittance Advice (ERA)
The insurer sends an ERA back to the clearinghouse, detailing the adjudication results, including payment amounts and reasons for any denials or adjustments.
7) Decision Making
The insurer adjudicates the claim, determining payment based on contract amount, active coverage, deductibles, copays, and coinsurance. They decide whether to pay, deny, or partially pay the claim.
8) Insurer Review
The insurance company reviews the claim, verifying client eligibility, coverage, and whether the services provided match the authorized treatment plan. They may request additional information if necessary.
9) Financial Reconciliation
We reconcile the payments received with the amounts billed, ensuring all payments are accounted for and addressing any underpayments or overpayments.
